Getting Started

A quick walkthrough for adding your first client — works the same way for private practice and school-based accounts.

1

Add a client

From the sidebar, go to Students (labeled "Clients" on non-school accounts) and click + Add Client. You'll need a first name, last initial, and birth month/year — everything else (diagnosis, parent/caregiver email, grade, school) is optional and can be filled in later from the client's profile.

2

Fill in or send intake forms, or skip for now

After creating a client, click "Send intake & consent forms" to open the intake questionnaire pre-filled for that client — fill it in yourself during a call or visit, or use Print/Copy to send it to the family however you normally would (there's no automatic email yet). Or click "Skip for now" and do it later. Either is fine — nothing else depends on this step.

3

Add their goals

Open the IEP & Goals tab on the client's profile. Add a goal manually, or paste in a list of goals you already have written out (from an IEP, eval report, or plan of care) to add several at once.

4

Start a session or generate a document

You're ready to go. Click Live Session (or Start Session from their profile) for real-time transcription and dB monitoring — a SOAP note generates from that session afterward. Or head to the Documents tab to generate a progress report or IEP report from their session and goal history.

Frequently Asked Questions

Do I need to fill out every field when adding a client?

No. Only first name, last initial, and birth month/year are required. Diagnosis, parent/caregiver contact info, grade, and school can all be added later from the client's profile — there's no need to have everything ready up front.

Is this different for school accounts vs. private practice?

No — adding a client works exactly the same way whether your organization is set up as a school or a private practice. School accounts see the section labeled "Students" instead of "Clients," but the fields and steps are identical.

A client I just added doesn't show up in the list yet — did it save?

Your client was saved. The list occasionally needs a manual refresh to pick up a client you just added — this is a known display quirk, not lost data. Refresh the page and they'll appear.

How do I add goals if I already have them written out elsewhere?

On the client's IEP & Goals tab, use Paste Goals to add a whole list at once from an existing IEP, evaluation, or plan of care, instead of entering each one manually.

If a parent fills out the intake form at home, how does it get into the system?

There's no automatic parent-facing link yet — "Send intake & consent forms" opens the questionnaire for you to fill in live (phone or in person), or to Print/Copy and send to the family however you normally would. Whatever the family sends back needs to be typed into that same form and saved to the client. We're aware this is a manual step today.

Where do I generate a SOAP note, progress report, or IEP report?

A SOAP note is generated from a session — click Live Session in the sidebar (or Start Session from a client's profile) to record, and the SOAP note is generated from that session afterward. Progress reports and IEP reports are generated from the client's Documents tab, pulling from their session and goal history.

I'm having trouble saving something (like a scheduled appointment) — what should I do?

If something fails to save, try again after a refresh, and let us know at support@speechtherapist.app what you were doing when it happened. We track and prioritize these reports directly.

Who do I contact for help with something not covered here?

Reach out to support@speechtherapist.app with a description of what you were trying to do — screenshots help. We're actively improving the platform based on exactly this kind of feedback.
