Run a live session
Set up, record or upload, then save a session so a defensible note can be generated.
Goal
Capture a session with audio and cues so the note writes itself. Start from the sidebar (Live Session → /dashboard/sessions/new), the dashboard (New Session, Start/Resume), or a client header (Start session, pre-selects the client via ?patientId=).
Before you start
Pick the client, confirm consent (step 2 of the checklist auto-confirms when Signed consent on file is set), set session type (in-person/telehealth), length, and Date of service (defaults to today — the note carries this date, not the day you type). Goals default to in-progress; last-session targets load automatically.
Steps
- Open Live Session and choose the client from the dropdown.
- Work the setup checklist: consent/location toggle (platform/outside + date), type, length, date of service, goals and optional lesson-plan drawer.
- Record or upload:
- Record live session: run the mic check first (see below), then Start. In-session controls: Pause/Resume/End (square icon), cue bar (IND/VRB/VIS/GST/MDL/PHY, levels 1–5) and live transcript.
- Upload audio: Already recorded? Upload an MP3/WAV/M4A to transcribe, then upload. Use this on shared computers or bad wifi.
- When you end, add duration, tap observation chips (Highly motivated, Engaged, Low focus today, Needed reassurance, Frustrated, Tired), and add free-text notes.
- Click Generate session note (sparkles icon →
/dashboard/sessions/[id]/soap) or Save without generating (→/dashboard/sessions/[id]review page). A 3-stage progress checklist tracks audio finalizing, cue compiling, and record persistence. If a network interruption occurs, your audio, transcript, and notes remain safe on-screen with an immediate Retry Save button.
Mic check
At /help/run-session#mic-check: allow the browser mic once, speak for two seconds, and confirm the level meter moves. If you see Failed to access microphone, check the browser site permission (lock icon → Microphone → Allow) and close other apps holding the mic. Upload path needs no mic.
Troubleshooting
| Problem | Fix |

| No sound moves the meter | Browser blocked the mic. Allow it in site settings and re-check. |
| Upload never transcribes | Use MP3/WAV/M4A. Very short clips (under ~40 words of speech) cannot generate a note later. |
No clients yet in the dropdown | Add the client first (Add a new client). |
| Session save error banner | Click Retry Save. Your audio, live transcript, and observation notes are preserved in browser memory. |
| Movement break pauses recording | Expected — the break modal auto-pauses. Resume when the child returns. |
